Thropic Games, Inc. ("Thropic", "we", "us") runs online contests in which champions compete to win a prize and their friends vote for them by playing a daily game and giving to a cause. This Privacy Policy explains what personal information we collect, how we use and share it, and the choices you have. It applies to thropicgames.com and its subdomains, every contest page, champion page and daily game we operate (together, the "Platform"), and the emails and text messages we send about them.
1.) Each contest on the Platform is run for an organization (a "Partner"), such as a team, school, nonprofit or charity platform, for a cause it supports. A contest may also have one or more sponsors (each a "Sponsor") who fund or present the prize.
2.) Information we collect
When you visit thropicgames.com, contact us, or a Partner or Sponsor works with us as a business, Thropic decides how that information is used, under this policy.
Each contest has its own Official Rules. Where the Official Rules say something more specific about a contest, they apply alongside this policy.
3.) Information you give us
If you are
A champion, we collect:
Name, email address, mobile phone number, city and state, one photo, your profile text (for example, why you are the biggest fan), confirmation that you are 18 or older, and your agreement to the Official Rules and Terms.
A voter, we collect:
Name, email address, city and state, the champion you back, and, if you give, the amount and date of your gift.
A prize winner, we collect:
Mailing address, date of birth, IRS Form W-9 or other tax information where the law requires it, an affidavit of eligibility, a liability release and, where lawful, a publicity release. Identity verification may be required before a prize is awarded.
A Partner or Sponsor contact, we collect:
Name, title, organization, work email and phone, and the details needed to set up and pay for a contest, including the organization's tax identification number.
Payment information. Gifts are processed by Stripe. Your card or bank details go directly to Stripe and are never stored by Thropic. We receive a record of the gift: the amount, the date, the champion it was given for, and the last four digits and type of the card.
Information collected automatically
Activity on the Platform: your plays, votes, gifts, shares, the champion link you arrived through, and pages viewed.
Cookies, pixels and similar technologies: used to keep you signed in, to count votes fairly, to measure how the Platform is used, and, on some contest pages, to measure and deliver advertising for that contest. See Section 6.
Information from others. A Partner may give us contact details of its existing supporters so that it can invite them to a contest. A champion's friend may share a champion's link with you. Advertising platforms may tell us that someone who saw a contest ad later visited the Platform.
How we use your information
To run the contest: to create and review champion sign-ups, publish champion pages, record plays and gifts as votes, keep the leaderboard, and decide and contact winners.
To send you messages about the contest: sign-in links, confirmations, your champion's standing, reminders to play, results, and receipts. Champions also receive a schedule of messages about their page and how close they are to the next place.
To process gifts and pay prizes, and to meet tax and reporting duties.
To keep the contest fair: to detect automated play, multiple accounts, self-giving by champions, and other fraud, and to void votes that break the Official Rules.
To promote the contest: to show a champion's name, photo and profile on their page, on the leaderboard, and in messages, social posts and ads about the contest, as described in the Official Rules.
To measure and improve the Platform, including how people find and use contests and which messages work.
To create contest content. We use software, including artificial intelligence services, to help draft contest pages, daily game content, emails and social posts. Where your information is used in that process, it is used only to produce material for the contest you are part of.
To comply with the law, respond to lawful requests, and protect the rights and safety of participants, Partners, Sponsors and Thropic.
4. How your information is shared
We do not sell your personal information for money.
Shared with, what and why
The public
A champion's first name and last initial or full name (as the champion chooses), photo, profile text, city and state, and vote total appear on their champion page and the leaderboard. A winner's name, city and state may be announced. Voters are not named publicly.
The Partner running the contest
Names, email addresses and locations of the champions, voters and givers in its contest, gift records, and contest results, so that it can thank its supporters, report on the contest and stay in touch with you. The Partner uses this information under its own privacy policy.
The cause receiving gifts
The record of each gift, so that it can receive the gift and issue your receipt.
Sponsors
Results and totals that do not identify you. Your personal information is shared with a Sponsor only if you choose to opt in to that sharing when you sign up or give, and only with the Partner's approval.
Service providers
Companies that host and run the Platform for us, including cloud hosting (Amazon Web Services, in the United States), payment processing (Stripe), email delivery, text-message delivery, product analytics, artificial intelligence services and customer support tools. They may use your information only to provide services to us, under contracts that require them to protect it.
Advertising platforms
On contest pages that run ads, advertising pixels may send device and page-visit information to platforms such as Meta, to measure and deliver ads for that contest. You can opt out; see Section 6.
Legal and safety
Where the law requires it, to respond to lawful requests from public authorities, to enforce our Terms and the Official Rules, or to protect anyone's rights, property or safety.
Business transfers
If Thropic is involved in a merger, acquisition, financing or sale of assets, your information may transfer as part of that transaction, subject to this policy.
5. Text messages and email
If you give us your mobile number, you agree to receive text messages about the contest you joined, sent by Thropic on the Partner's behalf. Message frequency varies. Message and data rates may apply. Reply STOP to any message to stop, or HELP for help. Consent to texts is not a condition of any purchase or gift. We do not share your mobile number or text-message consent with third parties for their own marketing.
You can unsubscribe from non-essential email at any time using the link in the email. We will still send messages needed to run a contest you are part of, such as sign-in links, gift receipts and prize notices.
6. Cookies, analytics and advertising choices
We use cookies and similar technologies that are needed for the Platform to work (for example, keeping you signed in and counting one play per day), analytics that show us how the Platform is used, and, on some contest pages, advertising pixels.
Browser settings. Most browsers let you block or delete cookies. Blocking cookies the Platform needs may stop you signing in or voting.
Opt out of advertising sharing. Where an advertising pixel shares information for targeted advertising, that may count as "sharing" or "targeted advertising" under some state laws. You can opt out by using the "Your Privacy Choices" link on the Platform or by writing to us (Section 13).
Global Privacy Control. We treat a Global Privacy Control signal from your browser as a request to opt out of sharing and targeted advertising for that browser.
7. How long we keep your information
Contest information is kept for as long as we provide services to the Partner that ran the contest, and is deleted or returned to that Partner within 90 days after those services end.
Gift, vote and prize records are kept as long as needed for tax, accounting, audit and legal purposes, and to resolve disputes about a contest's result.
When a champion asks to be removed, their page and photo are taken down. Consent records and the vote ledger are kept, with the champion's identity removed, so the contest result can be verified.
Information we must keep by law is kept for the period the law requires.
8. How we protect your information
We use administrative, technical and physical safeguards designed to protect your information, including encryption in transit and at rest, role-based access controls with audit logs, secure authentication, regular patching and vulnerability monitoring, and storage and processing in the United States. Card data is handled by Stripe and never stored on our systems. No system is perfectly secure. If a security incident affects your personal information, we will notify you and the Partner as the law requires.
9. Your rights and choices
Depending on where you live, you may have the right to:
- know what personal information we hold about you and receive a copy;
- correct inaccurate information;
- delete your information;
- opt out of the sale or sharing of your information, targeted advertising, and profiling;
- limit the use of sensitive personal information; and
- not be treated differently for using any of these rights.
How to make a request. Write to us at info@thropicgames.com with the subject "Privacy Request", or use the "Your Privacy Choices" link on the Platform. We will confirm your identity using the contact details we already hold before acting on a request. You may use an authorized agent; we may ask for proof that the agent is acting for you.
Contest information. Because we process contest information on behalf of the Partner running the contest, we may pass your request to that Partner and help it respond. Information a Partner has already received is held by that Partner under its own policy, and you may also contact the Partner directly.
Appeals. If we decline your request, you may appeal by replying to our decision with the subject "Privacy Appeal". We will respond within the time the law requires. If you are not satisfied with the result of an appeal, you may contact your state attorney general.
California residents. In the past 12 months we have collected the categories of personal information described in Section 2: identifiers, customer records, commercial information (gift records), internet and device activity, approximate geolocation, audio-visual information (champion photos), and inferences about which contests and messages interest you. We collect them from the sources and use them for the purposes in Sections 2 and 3, and disclose them to the recipients in Section 4. We do not sell personal information for money. Advertising pixels on some contest pages may be "sharing" for cross-context behavioral advertising, which you can opt out of as described in Section 6. We do not use sensitive personal information to infer characteristics about you. We do not knowingly sell or share the personal information of anyone under 16.
10. Age requirement
The Platform is for people 18 and older, unless otherwise stated. You must be 18 or older to sign up as a champion (unless otherwise stated), to play, or to give. We do not knowingly collect personal information from anyone under 18, unless otherwise stated. If we learn that we have, we will delete it promptly. If you believe someone under 18 has given us information, contact us at info@thropicgames.com.
11. Links to other sites
The Platform links to sites run by others, including Partner, Sponsor, cause and payment pages. Their privacy practices are their own and this policy does not cover them.
12. Changes to this policy
We may update this policy. The date at the top shows the current version. If we make a material change, we will post the new policy on this page and, where the change affects how we use information we already hold, notify you by email or on the Platform before it takes effect.
